Privacy Policy

Swyft AI ("we", "us") provides AI-powered call answering, missed-call text-back, and appointment booking services to medical spas and aesthetic clinics in Ontario, Canada. This policy explains what personal information we collect, why we collect it, how we protect it, and the choices you have. We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

Who this policy covers

What we collect

From clinic clients: business contact details (name, email, phone), billing information, and the service, pricing, and scheduling information needed to configure your AI receptionist.

From callers, on behalf of our clinic clients: name, phone number, appointment preferences and booking details, and recordings or transcripts of calls handled by the AI receptionist. We practice data minimization: we do not ask for, and do not intentionally store, health records, payment card numbers, or government identifiers. Callers may volunteer treatment-related information in conversation; where they do, it is handled with the same protections as all other call data.

From website visitors: basic, privacy-respecting analytics (page views and aggregate usage via Vercel Analytics). We do not run advertising trackers.

Why we collect it

We do not sell personal information. Ever. We do not use one clinic's caller data to benefit another clinic.

Call recording and AI processing

Calls answered by the AI receptionist are processed, and may be recorded and transcribed, so the conversation can be handled, the booking completed, and quality reviewed. When we act on behalf of a clinic, the clinic is responsible for its own notice and consent obligations to its patients, and we support this by working only with clinics that agree to disclose the use of an automated assistant where required.

Where data is stored and who can access it

We use reputable third-party service providers to deliver the service: telephony carriers, AI speech and language processing, text messaging, and scheduling infrastructure. These providers process data only to deliver our service and are bound by contractual confidentiality and security obligations. Where a provider processes data outside Canada, that data is subject to the laws of that jurisdiction; we select providers with strong security practices and limit what they receive to what the service requires. Data is encrypted in transit and at rest.

Retention

We keep call recordings and transcripts only as long as needed to deliver the service, support quality review, and meet our contractual obligations to the clinic, after which they are deleted. Clinic clients may request earlier deletion of their call data at any time. Billing records are retained as required by law.

Your rights

Under PIPEDA you may request access to the personal information we hold about you, ask us to correct it, or withdraw consent (subject to legal and contractual limits). If you called a clinic we serve, we will coordinate with that clinic to fulfill your request. Contact us at hello@swyftai.ca. We respond within 30 days, usually much faster.

Marketing communications (CASL)

Any commercial electronic messages we send comply with Canada's Anti-Spam Legislation (CASL): they identify us, include working contact information, and contain a functioning unsubscribe that we honour promptly. If you received an email from us and want no further contact, reply "unsubscribe" or email hello@swyftai.ca.

Security

We protect personal information with encryption in transit and at rest, access limited to those who need it, and logging of access to call data. No system is perfectly secure; if a breach creates a real risk of significant harm, we will notify affected parties and the Office of the Privacy Commissioner of Canada as required by law.

Changes to this policy

If we change this policy, we will update the date at the top of this page. Material changes affecting clinic clients will be communicated directly.
